Achieves excellent results controlling the entry of operating personnel during the expansion of its power plant by implementing some functionalities of the system of SETUP.

Introduction

El Ingenio Carmelita, which stands out as one of the agro-industrial and eco-friendly companies in southwestern Colombia for the generation of biomass renewable energy, began the expansion of its cogeneration plant, where the need arose to expedite the daily income of more than 400 operators to the facilities, in addition to controlling and analyzing personnel data in real time, such as the payment of ARL and the entrances or exits of the place. SETUP accompanied the company in the development of the solution.

The challenge

When starting the expansion project, due to the hiring of various suppliers and a large number of operators, the Mill needed a mobile, reliable and agile system that would avoid congestion and loss of time in the entry of each worker, while checking their activation by the provider. At the same time, a functionality was required that would shorten the authorization process for personnel to enter the facility, replacing the sending of various emails between the suppliers and the human resources department of the Mill. As well as, that the tool facilitates the company to carry out audits regarding the payment of the social security of the employees, by the suppliers.

Solution

With the implementation of several functionalities of the SETUP system, the Mill obtained the solutions for the stated requirements and other great advantages:

Each supplier was granted restricted web access to the "Employees" module in the SETUP system, in which only operators linked to the project can be added or removed.
The department in charge at the Mill can view in real time the status and compliance with regulatory requirements of the employees assigned by the suppliers, as well as having the power to activate or inactivate them.
The security personnel located at the access points to the project, through the SETUP mobile App, take the photographic record of the person to enter so that the system validates if it corresponds to the person registered by the provider and if the official is active or inactive.
Any person at the Mill with access to the system can view indicators and details of each record.

By abolishing the use of email as a notification mechanism, we were able to transfer to the suppliers the responsibility of keeping the updated information of the personnel linked to the project on the platform, allowing the Mill to obtain said information in real time, reducing processes and time.
Feedback was achieved between the work teams on a permanent basis, in addition to providing access to indicators and details of each record to authorized mill personnel.
